Cloud storage for SMEs: OneDrive, Google Drive or Dropbox?

The right cloud storage gives your SME secure collaboration, automatic back-up and GDPR compliance. Comparison of OneDrive for Business, Google Drive (Workspace) and Dropbox Business Plus for 2026.

Quick answer
  • If you already use Microsoft 365, OneDrive for Business (included with Business Basic, approx. €5.25/user/month) is the logical choice: 1 TB storage per user with seamless integration with Word, Excel and SharePoint. If you already use Google Workspace, Google Drive (included with Workspace Starter, approx. €5.75/user/month) is the most straightforward option. Dropbox Business Plus (approx. €16.58/user/month, verify at dropbox.com for current pricing) is the best option if you want platform-independent working and need 15 TB pooled storage for the whole team.
  • All three offer a Data Processing Agreement (DPA) under GDPR Art. 28, AES-256 encryption at rest and TLS in transit, and support custom domains and admin consoles. Prices are indicative (excl. VAT); verify current rates with the provider.

Which cloud storage fits SMEs in 2026?

For SMEs, there are three dominant platforms: OneDrive for Business (Microsoft), Google Drive (Google Workspace) and Dropbox Business. The right choice depends on which ecosystems you already use and how much storage you need. OneDrive and Google Drive are included with Microsoft 365 and Google Workspace respectively, meaning the additional cost for cloud storage is typically zero if you already subscribe to one of those packages. Dropbox is a standalone platform with more flexibility across ecosystem boundaries, but is more expensive. All three support secure collaboration, version history, desktop synchronisation, and provide a Data Processing Agreement (DPA) under GDPR Art. 28 for privacy law compliance. The comparison below helps you make the right choice based on price, storage, integrations and GDPR compliance.

Overview: OneDrive, Google Drive and Dropbox Business

OneDrive for Business, included with Microsoft 365 Business Basic (approx. €5.25/user/month, verify at microsoft.com), provides 1 TB storage per user. The integration with SharePoint, Teams and Office apps (Word, Excel, PowerPoint) enables browser-based co-editing with automatic version history of more than 30 versions. Google Drive, included with Google Workspace Starter (approx. €5.75/user/month, verify at workspace.google.com), provides 30 GB shared pooled storage per user. Google Drive offers AI-powered search, integration with Google Docs, Sheets, Slides and Meet, and Google Drive for Desktop for synchronisation. Dropbox Business Plus (approx. €16.58/user/month, verify at dropbox.com) is a standalone platform with 15 TB pooled storage for the whole team. Smart Sync ensures only file names are stored locally, while content is loaded on demand. Dropbox integrates with Slack, Zoom, Google Workspace and Microsoft 365. Related: see also our articles on

Privacy & GDPR

GDPR compliance and security: Data Processing Agreement required

All three platforms offer a Data Processing Agreement (DPA) under GDPR Art. 28, which is legally required as soon as a cloud provider processes personal data on behalf of your business. Microsoft offers EU Data Boundary: data from European customers is stored in EU data centers in Amsterdam and Dublin, encrypted with AES-256 at rest and TLS 1.2+ in transit. Google Workspace stores data for European customers in EU data centers; the DPA is available via the Google Workspace Agreement and encryption uses TLS and AES-256. Dropbox has servers in the US and the EU; Standard Contractual Clauses (SCCs) are available for data transfers to the US. Dropbox Business is ISO 27001 certified and encrypts data at rest (AES-256) and in transit (TLS). All three are certified under the EU-US Data Privacy Framework 2023 (verify at dataprivacyframework.gov). For AI features such as Microsoft Copilot, Google AI in Drive and Dropbox Dash AI Search, the EU AI Act Art. 4 AI literacy requirements apply (in force from 2 February 2025). Which to choose

OneDrive, Google Drive or Dropbox: when to choose which?

Choose OneDrive for Business if you already use Microsoft 365: storage is included at no extra cost, and the integration with Outlook, Teams, SharePoint and the Office desktop suite is seamless. Choose Google Drive if you already use Google Workspace: storage is included and integration with Gmail, Meet, Docs and Sheets is available without additional steps. Dropbox Business Plus is the best choice if you want platform-independent working or have a team that includes both Microsoft users and Mac or Linux users. The 15 TB pooled storage is advantageous for teams where some users need much more storage than others, such as designers, video producers or engineers with large files. Note: if you already have a Microsoft 365 or Google Workspace licence, Dropbox is an additional cost that is only justified if specific features such as Smart Sync or Dropbox Paper offer clear added value over the included solution.

Frequently asked questions

Frequently asked questions about cloud storage for SMEs

What is the difference between OneDrive Personal and OneDrive for Business?
OneDrive Personal is linked to a personal Microsoft account and is designed for individual use. OneDrive for Business is part of Microsoft 365 Business subscriptions, managed via the Microsoft 365 Admin Center, and provides central user management, multi-factor authentication and a GDPR Art. 28 Data Processing Agreement (DPA). OneDrive for Business never links to a personal Microsoft account and gives the IT administrator more control.
How much storage does an SME need?
For document-centric SMEs (Word, Excel, PDF, email), 1 TB per user is typically more than sufficient. For video production, CAD files, photography or large datasets, you may need significantly more, sometimes 5 to 20 TB per user. Google Workspace Starter provides 30 GB shared per user, which may be sufficient for email and light documents but can quickly become tight with heavier usage. Dropbox Business Plus with 15 TB pooled for the whole team can be advantageous if storage needs are unevenly distributed across the team.
Is my cloud storage GDPR-compliant?
All three platforms (OneDrive, Google Drive, Dropbox) offer a Data Processing Agreement (DPA) under GDPR Art. 28, which is legally required as soon as the provider processes personal data on behalf of your business. The key is: actually conclude the DPA when creating a business subscription. Also check data localisation: Microsoft offers EU Data Boundary, Google stores Workspace data in EU data centers, and Dropbox offers Standard Contractual Clauses (SCCs) for EU-US data transfers.
Can I use OneDrive and Google Drive simultaneously?
Yes, both desktop apps (OneDrive and Google Drive for Desktop) can run alongside each other on Windows and macOS. The downside is higher costs if you subscribe to two paid suites (Microsoft 365 and Google Workspace) simultaneously, and a more complex back-up and synchronisation strategy. In practice, most SMEs choose one as their primary platform and use the other only where needed via the web interface.
What is the cheapest business cloud storage alternative?
If you already subscribe to Microsoft 365 Business Basic (approx. €5.25/user/month) or Google Workspace Starter (approx. €5.75/user/month), cloud storage is already included: OneDrive gives 1 TB per user, Google Drive 30 GB shared. Dropbox as a standalone subscription (Business Plus approx. €16.58/user/month) is more expensive. There are also alternatives such as Nextcloud (self-hosted, free open-source software but requires your own server and administration) or pCloud Business for specific use cases. Always verify current rates with the provider.
