How to choose the right web agency?

Choosing a web agency goes beyond finding the lowest price. These are the five questions to always ask, and what to look for so you find an agency that truly fits your project.

Short answer
  • Check their portfolio: do they have projects similar to what you need?
  • Always ask for a fixed project price, not an open hourly rate.
  • Schedule an introductory call: communication style matters at least as much as price.
  • Ask who will own your domain, code and design after the project.

Why choosing a web agency is so difficult

There are thousands of web agencies in the Netherlands — from large agencies with 50 employees to independent freelancers. Quote amounts vary widely, every site looks professional, and everyone promises fast delivery. Yet collaborations regularly run into trouble: unclear agreements, unexpected extra costs or poor communication. The five points below help you make the right choice in advance.

What to look for

5 questions for every web agency

1. Do they have relevant portfolio projects?

Ask to see examples similar to your project. An agency experienced in brochure sites for freelancers is different from one that builds client portals. Check the live sites — loading time, mobile-friendliness and readability are immediately visible. Also ask how old the examples are: a portfolio from five years ago says little about the current way of working.

2. Do they work with a fixed project price?

A fixed price gives you certainty: you know upfront what you'll pay, regardless of how many hours the agency puts in. An open hourly rate can escalate — and the risk sits with you. Always ask in writing for a breakdown of what's included: revision rounds, copy updates, testing phase, delivery. What isn't in the quote will cost more later.

3. What does the process look like?

A good agency works in recognisable steps: intake, design, build, test, go live. Ask about the timeline and when you need to deliver feedback. Clear milestones prevent a project dragging on for months. Also ask who your dedicated contact is: at larger agencies, project managers sometimes change.

4. Who will own your code and domain?

This is too often overlooked. Ask explicitly: 'If I stop working with you, do I keep my domain, my code and my design?' At a professional agency the answer is always yes. If an agency claims ownership of your domain or code, that's a red flag.

5. How do they communicate?

An introductory call isn't a sales pitch — it's also a test. Send a question and get an answer two weeks later? You already know how it will go. An agency that communicates quickly, clearly and proactively will also resolve problems faster during the project.

The quote

Comparing quotes fairly

Request at least three quotes so you have a fair picture of the market. When comparing, don't just look at the total amount — also check what's included: hosting, copywriting, SEO setup and warranty period. A quote of €1,500 with everything included can work out cheaper than a quote of €1,000 with five extras billed separately.

Frequently asked questions

Frequently asked questions about choosing a web agency

How many quotes should I request?
Request at least three quotes. One quote gives you no frame of reference; three to five shows you the market standard and where the real price differences lie. Ask for a breakdown with each quote, not just a total amount.
Fixed price or hourly rate: which is better?
For a defined project, a fixed price is almost always better for you as the client: you know what you'll pay upfront and the risk of overruns sits with the agency. An hourly rate can make sense for ongoing development or maintenance afterwards, where the scope is hard to estimate in advance.
How do I check whether a web agency is trustworthy?
Look them up in the Dutch Chamber of Commerce (KvK), check reviews on Google or Trustpilot, and ask for references from previous clients you can call directly. Also look critically at their own website: an agency that presents itself poorly online will not present you any better.
What if I'm not satisfied after delivery?
Establish in writing before you start what the end result must be: number of pages, features, delivery date. Also ask about the warranty: how many revision rounds are included, and what does a change cost afterwards? Some agencies offer a money-back guarantee on the final product.
Does it matter whether the agency is local or online?
For most websites, physical proximity matters little — a good video call replaces an office visit perfectly. Local agencies can be handy if you want to meet regularly or if the target audience is local and the copywriter knows the market. What's decisive is whether the agency fits your project and communicates well, not where their office is.
